About the project

MIBU is a web system for managing coffee shops and chains of retail locations. Shift statistics, orders, inventory management, reports and settings for both a single location and the entire chain are gathered in one interface. In the mockups, the system is shown using one of the chain's coffee shops as an example.

The challenge

Every day, a coffee shop manager needs to see revenue, understand how staff are performing, and keep track of stock levels and product transfers between locations. This data is often scattered across the POS, spreadsheets and messengers. We needed to design a dashboard where all of this is available in a couple of clicks, and where the chain owner can switch from the level of a single location to the level of the whole chain when needed.

The login screen is simple and friendly: "Log in" and "Sign up" tabs, login by email or phone number, "Remember me" and password recovery. An illustration with a barista immediately sets the product's context.

Shift statistics

The main working screen is the location's statistics for the current shift. At the top are four key metrics: sales for the shift, profit, number of orders and average check. Below are a table of waiters with their number of orders, amount and share of the shift; a chart of payments for closed orders broken down by card, cash and bonuses; a shift log that switches between orders and terminal operations; and a feed of POS transactions by menu item.

Orders

In the "Orders" section, statistics are presented as ring indicators: revenue, profit, payment in cash, by card and with bonuses, and average check. Below them is a table of orders: number, opening and closing time, waiter, discount, payment type, amount and status — "Paid" or "Deleted". The shift is selected in the top right corner, which makes it easy to go back to previous days.

Inventory and transfers

The inventory section includes an overview, invoices, transfers and stocktaking. The transfers screen gathers transfer records: number, destination location, date, number of products and amount. A new record is created with a single button, and the table can be filtered by document type. This matters for a chain where products are regularly moved between locations.

Navigation is split into two levels: "Point of sale" and "Sales network". At the network level, there are statistics for the whole chain, reference books, finances, the loyalty system and settings. In every section, the bottom of the menu has an internal chat button with an unread message counter.

Result

MIBU gives a coffee shop manager a single place for daily work: see the shift's results, go through orders, check each employee's contribution and carry out inventory operations. The split into location and chain levels makes it possible to use one system both for a single coffee shop and for a chain with multiple addresses.
