Objective
Develop a universal system for allocating shifts, automatically tracking hours, vacations and overtime, as well as simplifying communication between management and staff without using messengers and paper schedules.
Project features
Flexible shift planning: by roles, zones, time
Support for auto-filling based on past schedules and employee preferences
Vacations, days off, sick leave - recorded from a mobile device
Ability to quickly swap shifts between employees with manager approval
Integration with payroll systems and time tracking
Push and email notifications about schedule changes
Work stages
Analytics
Shift-based work models were analyzed in 5 industries: retail, food service, logistics, security, hospitality. Shift supervisors were surveyed, and the main problems were identified: confusion in schedules, lateness due to changes, manual time tracking.
Design
The interface is oriented both to staff (mobile) and to managers (web dashboard). For workers - only the necessary information: current shifts, replacements, requests. For management - a visual schedule by shifts and roles, reporting on time and workload.
Development and testing
The web part is implemented on React + NestJS, the mobile app on React Native. The emphasis is on real-time data synchronization and offline operation with poor internet. Tests were carried out at a warehouse, a coffee shop and a store.
Results
Scheduling time reduced from 4 hours to 20 minutes
More accurate tracking of working hours and less overtime
Conflicts between employees over shifts reduced by 60%
Greater discipline and transparency in workload distribution
Client feedback
“StaffBoard has completely replaced our paper schedules and endless messenger chats. Staff keep track of their shifts themselves, and it has become easier for us to control overtime and vacations. We set it up once - it works reliably.”
